Work-Study 2011-2012


Work-study funds are extremely limited for the 2011-2012 school year. If you have been awarded work-study funds, you must follow the instructions on the eligibility form that will be sent to you (via the Portal), and submit all required documents to the college, in order to receive your funds. If you delay in accepting your award or submitting required documents, your award is subject to cancellation. 

Work-study eligibility forms will be available via the Financial Aid Portal in early September for the 2011-2012 school year. You may NOT begin working until all required forms are turned in to the college and your supervisor has a timesheet. The soonest you may begin working is the first day of the quarter.

In order to be eligible to receive your work-study award, you must be enrolled at least 1/2-time (6 or more credits). If your award is canceled at any time throughout the year, including due to unsatisfactory academic progress, it may not be reinstated, even if you are approved for reinstatement via appeal.

A list of available positions will be available via your Work-Study Eligibility Form (on the Portal).

 

TO STUDENTS:    

Students who have not previously done so are required to complete a “new hire” packet before they begin working. Packets are available in the Human Resource Office – we strongly recommend you stop by their office or call for a packet at least 5 days before the first day of the quarter. Please bring your I-9 identification with you before stopping by the Human Resource Office. This will avoid problems and delays with your first day of work.

 

Only after the Financial Aid Office has received all required and completed documents/forms will a timesheet be forwarded to your supervisor – we are sorry, but timesheets may not be picked up in person from the Financial Aid Office.  All timesheets will be sent to your supervisor. You may NOT begin working until your supervisor has a timesheet for you.

 

TO EMPLOYERS/SUPERVISORS:       

 

Before your student begins working, a WORK-STUDY ELIGIBILITY form must be completed and submitted to the Financial Aid Office. A timesheet will be forwarded to you to indicate your student is able to begin to work. Until you receive a timesheet, your student is not eligible to work. Please do not send students to the Financial Aid Office for a timesheet, as we must distribute timesheets directly to supervisors.Timesheets will be in your mailbox on or before the first day of the quarter.

 

THINGS TO REMEMBER:

 

1. Students are not allowed to exceed their gross work-study allocation for any given quarter.  Supervisors are responsible for monitoring students’ hours to ensure that these limits are not exceeded. Supervisors who allow students to exceed their maximum gross earnings for a quarter will be required to pay out of their own departmental budget for the amount earned in excess of the work-study award.

 

2. Students must maintain a minimum enrollment of 6 credits and the number of hours worked per week cannot exceed 19. The number of hours worked per day cannot exceed 8.

 

3. Students in their final quarter of enrollment at Peninsula College cannot work past their last class or exam day.

 

2011-2012 Dates to Remember:

 

Fall quarter 2011:         1st day you can work:               9/26/2011

Last day you can work:            12/31/2011*

 

Winter quarter 2012:     1st day you can work:               1/3/2012

Last day you can work:            3/31/2012*

 

Spring quarter 2012:     1st day you can work:              4/2/2012

Last day you can work:            6/30/2012*

 

If you will meet your graduation requirements at the end of a quarter, you MAY NOT work past the last day of the quarter or your last exam day, whichever comes first.

 

*The blackout dates for the 2011-2012 school year are as follows: September 16-25, 2011, January 1-2, 2012, April 1, 2012, July 1-first day of summer quarter, 2012. Students who work during the blackout dates must be paid out of non-work-study funding.

 

 

Award adjustments:

 

The Financial Aid Office reserves the right to amend, cancel or re-allocate awards throughout the quarter. Students will be notified if such action is taken.

 

Working over the breaks:

 

Students can work over the breaks between quarters, provided you meet ALL of the following criteria:

  1. You have met Satisfactory Academic Progress requirements for the previous quarter AND you completed at least 6 credits.
  2. You have enough hours remaining (on your most recent timesheet).
  3. You do not work more than 8 hours per day/19 hours per week.
  4. You are not graduating/completing the graduation requirements for your program of study at the end of the quarter. (i.e. you will remain enrolled in your program of study for the next quarter.)
  5. You do not work past the cutoff date for the quarter (during blackout periods).

 

IMPORTANT:

 

Students who exceed their work-study allocation awards by working for more hours than they are eligible or who work during non-authorized periods of time must be paid for the hours they worked out of their supervisor’s departmental budget.

 

Timesheets:

 

Must be signed by supervisor AND student. Timesheets without signatures will not be processed. Timesheets turned in after payroll deadlines (typically the 16th and last day of each month) may not be processed in time to meet the payroll processing: if you miss payroll processing for any pay period because you have turned in a timesheet late and/or your timesheet was incomplete, your paycheck will not be ready until the next pay period.

 

We cannot make any exceptions regarding the signature requirement. If signing your timesheet is going to be a problem for you or your supervisor, please notify the Financial Aid Office right away.

 

Please turn your timesheet in to the Financial Aid Office via our mailbox (in the campus mailroom), the locked drop box in the Student Services building, or at the One-Stop counter in the Student Services building. Your timesheet for the next pay period will be printed within 2-3 business days of receipt of your previous timesheet.

When can you start:

 

You may begin working once you meet all of the following conditions:

 

  1. It is on or after the first authorized day for the quarter.
  2. You have submitted all required paperwork, identification, and documents to the Financial Aid Office.
  3. Your supervisor has received a timesheet for you for that pay period/quarter.
  4. You are enrolled in at least 6 credits and are currently eligible to receive financial aid.
  5. You are attending/planning to attend all of your classes, or you met Satisfactory Academic Progress requirements for that quarter if working past the last day of classes.

 

If any of the above conditions have not been met, then you are not eligible to begin working. Please contact the Financial Aid Office right away to resolve any problem you may have with meeting the above conditions. If at any time during the quarter you are unable to continue meeting these requirements, you must cease working immediately and contact the Financial Aid Office.
